Private FIT programs

Custom itineraries for individual travelers, couples, families, and small private groups of 2 to 7. Routing, pace, accommodations, and experiences are designed around the specific client, not adapted from a fixed template.

Small-group departures

For groups of 8 to 24, we design and operate private group programs with the same custom approach. Group programs are available exclusively for private groups booked through an advisor or operator. We do not run open-enrollment departures.

Every decision we make on the ground reflects on the recommendation you made, and we approach that responsibility the same way you approach the trust your clients place in you. We do not take it for granted.

Flexible billing

Two models are available. In the net model, we price at net and you mark up and bill your client directly. In the gross model, your client pays us the full program price by credit card and we remit your commission within 30 days of the program's end. You choose what works best for your practice.

24/7 local concierge

Every program is assigned a dedicated local concierge based in Spain. Your clients have a direct contact available at any hour for the duration of the trip. We monitor every program in real time and handle issues before they escalate.

We provide a complete pre-departure package: day-by-day itinerary, hotel confirmations, transfer details, guide introductions, and a practical destination briefing. Documents can be customized with your agency branding on request.

Your brief

Share your client's travel dates, interests, group size, budget range, and any specific requests. The more we know about what they care about, the more precisely we can design. If the brief is incomplete, we ask the right questions before building anything.

Program design

We design a custom itinerary based on the brief: routing, accommodations, experiences, transportation, and guide recommendations. If the client has particular interests, we build around those specifically, including private access not available through standard booking channels.

Pricing and review

We provide pricing for every element of the program and confirm the billing model: net markup or gross billing with commission remittance. You review, adjust, and approve. We revise as needed until the program is exactly what your client expects. Nothing is booked until you confirm.

Booking and confirmation

Once approved, we confirm all bookings: hotels, guides, transportation, restaurants, tickets, and any special access arrangements. We send you a complete confirmation package with everything your client will need before departure.

In-country management

From the moment your clients arrive in Spain, our local team is on call. Transfers are met, guides are briefed, and the concierge is reachable around the clock. Day-of logistics are handled by us, not passed back to the client to sort.

Post-trip debrief

After the program concludes, we follow up with a brief debrief. What worked well, what the client responded to, what to adjust for the next program. This is how the partnership improves over time.

What types of programs does Inbound Spain design for travel advisors?

Every program starts from the client's brief, not a pre-built template. If your client cares about food and wine, the itinerary is built around culinary experiences from the first conversation. If they want art and architecture, the routing changes accordingly. Accommodations, guides, pacing, and day structure all follow the client's interests. Programs can be designed for as few as 2 travelers or as many as 24, and the approach stays the same regardless of group size.

What billing options does Inbound Spain offer travel advisors?

Two billing options are available on every program, and you can choose differently from one booking to the next. The net model works well if you want full control over client-facing pricing and prefer to handle billing directly. The gross model works well if you would rather not collect and remit payment: your client pays Inbound Spain by credit card, and we handle the transaction. Neither model is treated as the default. Many advisors have a strong preference, and we accommodate whichever fits your practice.

Can my clients pay Inbound Spain directly by credit card?

Yes. Under the gross billing model, your client pays Inbound Spain directly by credit card. We send them a secure payment link for both the deposit and balance installments. You are not involved in payment collection, invoicing, or currency conversion. This is particularly useful for advisors whose clients prefer paying the service provider directly, or when you want to avoid handling international transactions for a European program.

When does Inbound Spain remit commission to travel advisors?

Within 30 days of the program's end date, by bank transfer. The amount, timing, and payment method are confirmed in writing before the trip begins, so there is nothing to negotiate or follow up on after the fact. If a program includes amendments that affect the commission, those changes are documented and confirmed before travel as well.

How does Inbound Spain communicate with my clients during a trip?

The concierge manages everything that happens between scheduled experiences: restaurant changes, transport delays, weather pivots, a client who wants an extra museum visit, or a late-night pharmacy run. Your clients message the concierge directly rather than calling you across time zones. You receive updates at key moments (arrival confirmation, any mid-trip changes, and a summary when the program concludes) so you stay informed without being on call.

Inbound Spain operates across all major regions of Spain: Andalusia, Madrid, Barcelona, Valencia, Basque Country, Asturias, Cantabria, Mallorca, Galicia, and Castilla y Leon. We are based in Andalusia with established supplier relationships and vetted guides in every region.

How do I submit a client brief to Inbound Spain?

Start with a conversation. Use the contact form or email us directly. Share what you know about your client: travel dates, interests, travel style, group size, and any constraints. We will follow up within one business day to ask any clarifying questions before designing the program.

What documentation does Inbound Spain provide for my clients?

Documentation is delivered in two stages. Before departure, your client receives the complete package: day-by-day itinerary, hotel confirmations, transfer details, guide introductions, and a practical destination briefing. This is formatted so you can hand it directly to your client or present it under your agency branding. After booking confirmation, you also receive a summary of all confirmed services and emergency contacts for your own records. The goal is that your client arrives in Spain fully prepared, and you have full visibility into what was booked.

Can Inbound Spain accommodate special interests or access requests?

Yes. Program design begins with your client's interests, not a fixed template. We regularly design programs around specific interests including culinary and wine, harvest-season winery access in La Rioja and Ribera del Duero, religious heritage, walking and soft adventure, contemporary art and architecture, flamenco and performing arts, Camino de Santiago segments, coastal and nautical experiences, golf, family and multi-generational programming, and special occasions such as anniversaries and milestone birthdays. We also develop private access: winery visits, studio appointments, and behind-the-scenes experiences at sites not available through standard booking channels.

What are the payment and cancellation terms for programs booked through Inbound Spain?

A deposit of 30% of the full program cost is due on booking confirmation, with the balance due 90 days before arrival. For programs booked within 90 days of arrival, full payment is required at confirmation. Cancellation charges are based on proximity to the travel date: 31 or more days out, the deposit is forfeited; 15 to 30 days, 50% of the full cost; 7 to 14 days, 75%; 6 days or fewer, 100%. Supplier-specific terms may apply for certain services and peak periods. Full terms are provided at the time of booking confirmation.

How quickly does Inbound Spain respond to program requests?

Inbound Spain provides an initial program outline within 48 hours of receiving a complete brief. Pricing and availability confirmation follows within five business days, depending on program complexity and seasonal demand. Revisions after advisor feedback are typically returned within 24 to 48 hours.

How far in advance should I plan a private Spain program with Inbound Spain?

For most private programs, four to six months of lead time is sufficient. Programs involving peak-season travel to Seville, Granada, or Barcelona, harvest-season winery access in La Rioja or Ribera del Duero, or special-access experiences may require six to nine months. If your client's dates are firm, contact us as early as possible and we will advise on what is still achievable.
